Cut Through the Stack: Using AI to Summarize Disclosures, Contracts, and Inspection Reports

A busy transaction means a lot of documents — and a lot of pages your clients' eyes will glaze over. AI won't replace your review process or your attorney, but it can dramatically speed up how quickly you understand a document and how clearly you can explain it to a client.

What AI Can (and Can't) Do Here

Let's be clear upfront: AI is not a lawyer, and you should never use it as a substitute for legal review or your broker's guidance. What it is genuinely useful for is getting a fast plain-English summary of a long document so you know where to focus your attention — and so you can explain things to clients without a law degree.

Always verify anything AI flags against the actual document. AI can misread, misinterpret, or miss context. Use it as a first pass, not a final word.

How to Get a Document Into AI

Most AI tools — ChatGPT (Plus), Claude, and others — can accept uploaded files directly. If the document is a PDF, upload it. If it's a scanned image rather than a text-based PDF, the results may be less reliable.

For plain text documents or if upload isn't available, you can paste the content directly into the chat window. Long contracts may need to be pasted in sections.

Step 1: Upload and Ask for a Summary

Start with a broad summary to get the lay of the land:

"I'm a real estate agent. I've uploaded a seller's disclosure for a property my buyer is considering. Please summarize the key points in plain English, highlighting anything that could be a concern for a buyer — such as known defects, past repairs, insurance claims, or items marked 'unknown' or 'yes.'"

This gives you a quick overview in seconds rather than skimming 10 pages yourself.

Step 2: Ask Specific Follow-Up Questions

Once you have the summary, dig into the areas that matter most:

  • "Were there any roof issues disclosed? What exactly did the seller say?"
  • "Does the seller disclose any water intrusion or flooding history?"
  • "Are there any items where the seller checked 'unknown' rather than 'yes' or 'no'?"

You can have a real back-and-forth with the document this way — treating AI almost like a paralegal who just read it for you.

Inspection Reports

Inspection reports are often 40–80 pages of findings, photos, and recommendations. Your clients will be overwhelmed. AI can help you quickly triage what's actually worth worrying about.

I'm uploading a home inspection report. Please read through it and give me:
1. A brief overall summary (3–5 sentences)
2. A list of any items flagged as "Safety Hazard" or "Major Defect"
3. A list of items recommended for immediate repair or evaluation by a specialist
4. Any items that might be expensive to address (roofing, HVAC, foundation, electrical panel)

Keep the language simple — I'll be walking a first-time buyer through this.

This output becomes the backbone of your post-inspection conversation with your client. You'll know exactly where to start.

Explaining Documents to Clients

Summaries aren't just for your own review — they're a client communication tool. Once AI has condensed a document for you, you can ask it to go one step further:

"Now rewrite this summary as if you're explaining it to a first-time homebuyer who has never been through this process before. Avoid legal jargon. Use short paragraphs."

Send that version to your client alongside the full document. They'll appreciate having something readable to reference, and you'll spend less time on the phone re-explaining what a seller's disclosure actually is.

A Few Situations Where This Saves Real Time

  • Multiple offer situations: Quickly compare two contracts to spot meaningful differences in terms, contingencies, or timelines
  • HOA documents: Condo resale packages can be dense — ask AI to pull out rules, fees, pending assessments, and restrictions
  • Lease agreements: If your client is currently renting and needs to understand their exit terms before buying
  • Counteroffers: Paste both versions of a contract and ask AI to list what changed

Instead of: "Can you summarize this contract?"
Try: "Compare these two versions of the purchase agreement and list every term that changed between the original offer and the counteroffer."

The agents who move fastest through a transaction are the ones who can process information quickly and communicate it clearly. AI makes both of those things easier — and your clients will notice.
